Registration
Adult registration for one adult in person, or on one computer/device in an online course.
Youth registration for one youth in person. Youth participation in an online course is for the registered user. Age-appropriate siblings may watch in the background.
Age is considered as the age of the youth at the last class of the registered course.
Fees quoted do not include materials, unless otherwise stated.

Child Supervision for Online Courses
When the parent registers a child in an online course, they agree that they are responsible for supervision of the child during the classes.
For online courses, if one child is registered, siblings may be the background and enjoy the class for free as long as they don’t disrupt the class. As class communication is age appropriate, parents are responsible for determining whether the course is appropriate for siblings.
Instructor’s interaction will be focused on the registered user.
Instructors do not give out their emails to children.

Refunds
Refunds of course registration and material fees are provided with notification two weeks or more prior to course start dates.
Where courses are cancelled by CIAS, all registration and associated material fees will be refunded.

FCSS Access Cards
FCSS Access Cardholders may register with discount prices predetermined by their FCSS rate. Access Cards will be verified with FCSS staff after registration is complete. If the discount is incorrectly categorized, that person will be removed from the course and no refund will be provided.

Missed Classes
There are no make-up classes offered for missed classes. There are no discounts or refunds for classes not attended.

Instructor/Course Changes
CIAS reserves the right to make course and/or instructor changes at any time.

Online Class Recordings
CIAS records all online courses. Participants may turn off their audio and video to retain privacy.
Recordings are made available to registered participants for 30 days after the course is completed.
Participants may not record online classes by audio or video formats.

COVID Requirements
CMS requires that all members abide by health measures that are in effect under government, facility or Society guidelines, which may change from time to time, as deemed necessary. CIAS requires that anyone feeling at all unwell not attend a CIAS class.

The Cochrane Integrated Art Society (CIAS) shall not be held responsible nor liable for any content or defects in its products, materials or services rendered by CIAS or any of its third-party service providers.

The Cochrane Integrated Art Society (CIAS) shall not be held responsible nor liable for the loss or damage of any items belonging to participants, visitors or the public at CIAS activities or events.

Any views, thoughts, and opinions expressed on the CIAS website and Facebook pages, or by third-party service providers, belong solely to the author, and not necessarily to the CIAS organization, committee or sub-committee, or other group or individual.

CIAS Privacy Policy

Collection
CIAS collects personal information of its program users including identifying information such as name, home address, phone number, email address, age, etc. CIAS makes every reasonable effort to ensure that personal information is as accurate and complete as is necessary for the purposes for which it is used or disclosed.  CIAS relies on the users to notify us if there is a change to their personal information that may affect the purposes for which it is used.

Consent
CIAS collects only information which is provided voluntarily by registering in person or through the website to receive newsletters, sign up for programs or by sending us emails. Users are deemed to have given consent for the use of voluntarily provided information. Explicit permission to use particular information for specified purposes may be included in the collection.

In the case where users voluntarily give CIAS information to assist in performing a task, they will be deemed to have given consent for the use of that information only in performing that task. For example, credit card information to pay for a course is deemed to have been given for that payment only.

Use and Disclosure
CIAS uses and discloses personal information for the purposes of program registration and delivery, and communication about its activities.

From time to time, the CIAS publicizes information about its activities to the community through various media such as newsletters, displays, internet website and press releases. In order to avoid misunderstandings about privacy and use of personal information CIAS asks permission from each participant to publish names and images.
Note: Artwork used in promotional materials including brochures, articles, social media, website, etc. may not credit the artist.

Security
CIAS protects personal information in a manner appropriate to the sensitivity of the information.

CIAS makes every reasonable effort to prevent any loss, misuse, disclosure or modification of personal information, as well as any unauthorized access to personal information. CIAS will not disclose users’ information without their consent, except as required by law.

CIAS will share personal information, in compliance with the law, when it is in the person’s best interest to do so, and they are unable to give permission in a reasonable amount of time.  For example, CIAS would share allergy information with medical responders in the event of an emergency.

Users are responsible for maintaining the confidentiality of their access information and password, and for all activities that occur under their password on the website.

Access Requests
CIAS will inform users, upon written request and with appropriate notice, of the existence, use and disclosure of their personal information and will provide them access to it in accordance with the law.
